Automated Folder Change Tracker for SharePoint Document Libraries
Resolved a critical visibility issue and deployed a scalable solution capable of tracking over 400,000 document updates per day
An Engineering Giant Looking to Streamline SharePoint Usage
Trylon is one of Canada’s leading engineering firms, renowned for delivering complex industrial and infrastructure projects. With large, multidisciplinary teams relying on Microsoft SharePoint as their central document management system, Trylon needed a way to simplify how engineers track project updates across thousands of files and nested folders.
The goal was to give teams better visibility into changes so they could instantly spot updates without navigating deep folder hierarchies.
Lack of Folder-Level Visibility Slowed Down Engineering Teams
While SharePoint served as the backbone of Trylon’s document ecosystem, its default behavior posed a major bottleneck: updates within nested folders wouldn’t reflect at higher folder levels.
<text-weight-medium>“We needed to see which folders had changed without having to click into every subfolder but SharePoint just doesn’t allow that.”<text-weight-medium>
This limitation meant engineers had to manually browse multiple folder layers just to check for updates. This resulted in lost man hours and slowing down projects, especially across document libraries with tens of thousands of files.
Scalable Automation Built with Microsoft Graph API
To solve the issue, Aureus first considered a Power Automate-based solution. However, with over 400,000 document modifications daily, the platform's action limits proved insufficient.
Instead, we engineered a lightweight, scalable system using Microsoft Graph API and deployed it via cloud functions. The solution automatically tracked changes in nested folders and surfaced updates at the top folder level without any user interaction.
<text-weight-medium>“The fix seems small, but it made a huge difference to how we work. Now we can instantly spot recent updates without wasting time.”<text-weight-medium>
This eliminated the need for engineers to click into every directory, saving time and improving productivity across teams.
Real-Time Insight Into 400,000+ Daily File Updates
The new system now tracks and updates folder visibility across Trylon’s entire SharePoint library; processing hundreds of thousands of document changes per day without performance lag.
Engineering teams now have a real-time snapshot of which project folders were recently updated, allowing for faster collaboration and improved document control.
Our work with Trylon highlights how solving even a single usability issue at scale can unlock enormous time savings and operational efficiency.
By leveraging Graph API and serverless cloud functions, we delivered a solution that works silently in the background, empowering engineering teams with better visibility, faster decision-making, and fewer manual steps.
Trylon now operates with significantly improved document traceability, ensuring that nothing gets missed in the high-paced environment of industrial engineering project delivery.
